Re: Final Timeline + Venue Layout

Hi Jessica,


Everything is sounding great so far, and I think we’re very close to having everything finalized.


One important item I’d love to get clarified ahead of time is the physical event layout — specifically where the champagne tower will be taking place, along with where the ceremony, cocktail hour, bar, buffet, dessert table, and guest seating will all be located throughout the evening.


Since the champagne tower is planned for immediately after the ceremony, having a clear understanding of the venue flow will help us coordinate staffing, setup transitions, glassware placement, and guest movement smoothly so we’re not trying to problem-solve logistics on the wedding day itself.


If possible, could you send over:

  • A venue layout/map

  • A rough sketch

  • Or even a simple written outline of what is happening where


That will help us tremendously with final event flow planning and ensure everything feels seamless for you and your guests.


Based on everything discussed so far, here is the suggested finalized timeline:


📅 Suggested Final Event Timeline – July 10, 2026

2:00 PM – Home Bites Arrival + Initial Setup

4:00 PM – Bar Service BeginsBar open for guest arrival and pre-ceremony beverages

4:30 PM – Ceremony Begins

5:00 PM – Ceremony Ends + Champagne TowerRecommended timing for the champagne tower as guests transition into cocktail hour

5:00 PM – 6:00 PM – Cocktail HourBar service continuesGuest mingling/photos

6:00 PM – 7:15 PM – Dinner ServiceBuffet open and actively staffedBar service continues throughout dinner

7:00 PM – Bussing BeginsOur team will begin clearing and bussing tables as guests naturally finish dinner service.

7:30 PM – Dessert Table OpensThis timing usually works very naturally since guests are often still returning for second servings from the buffet around this point, which allows our team to transition and set up desserts smoothly without interrupting the flow of the reception.

7:30 PM – 9:00 PM – Open Dancing + Reception

9:15 PM – Last Call

9:30 PM – Bar Closes

10:00 PM – Event Ends


Regarding the signature cocktails and ice — we will provide the necessary ice for cocktail service at no additional cost.


For alcohol logistics, all alcohol should be delivered directly to the designated bar area and should not be left unattended prior to bartender setup. We also ask that you designate one individual at the end of the evening to receive and sign off on any leftover alcohol and empty bottles remaining after bar service concludes.


The only remaining item we’ll need before finalizing everything is your signature cocktail selections, as well as beer and wine choices, so we can prepare accordingly and create the bar signage.


Please let me know if any corrections or adjustments are needed to the proposed timeline above. Once the timeline is confirmed, I will replace the current invoice and re-issue the finalized version reflecting all updates and revisions.
