We are so excited for Amber & Stephens wedding in just a couple weeks! I had a lovely final details meeting with Amber & Stephen and just had some quick clarifying questions to ask! (Amber cc'd!)
Linen Count
I just want to confirm linen count as linens are for ALL tables!
(50) navy blue napkins - can we up to 53? with the potential wind / people dropping them, I want to make sure we have extra!
(20) 120" inch round white table linens - * these will be used for (10) reception tables and (10) cocktail tables. Current contract count is (10) 90" but we need 120" inch please!!
(5) 90x156" rectangle table linens : welcome table, bar-back table, DJ table, (2) for app and dessert *flipping app to dessert table and want a fresh linen available
**contract notes 3 buffet tables but dinner is served family style - do you need these buffet tables for prep?? Please note the venue only has 5 8ft tables so we would only have 1 extra available for you to use for prep!! linen count above does not account for prep table linens if needed. There are additional round tables available if any of those can be used for prep If needed!
Vendor Meals
Since dinner is served family style is there going to be vendor meals available for vendors to grab? We will have (4) vendors total. (2) coordinators, (1) DJ, (1) photographer! *one vendor is vegan if you are able to accommodate this! No worries at all if not, I will just let them know!
Bar Questions
bar sign: Will you be providing a printed bar sign listing out all the drink options or should amber and I plan to make one?
plastic cups: we will be using glassware most of the evening but wondering if you have plastic cups available to transition to plastic once dancing starts? Dancing will be from about 9 - 11 pm.
cocktail napkins: will you have cocktail napkins available for apps, dessert and bar?
last call: event ends at 11 pm. confirming last call at the bar at 10:30 pm *current contract says 9:30
confirming Stephen is bring all mixers, alcohol and garnishes and Home Bites is providing ice for drinks & coolers?
garnishes: do they need to be pre cut or can bartenders do that?
Arrival time
I see your arrival time is est. 2 pm on wedding day which is great! I see the note about +/- 30 min which is completely fine, I just ask, if possible that arrival is no later than 2;30 since you have linens so florist and myself cant do too much for set up until linens arrive!
Contract
I know there have been some changes since the original contract was drawn up! Is there a way to get an updated contract or BEO reflecting the final choices? I.e additional bartender, linen sizes and counts, etc?
