Thank you so much for the detailed notes. We’re excited as well and appreciate you helping get everything finalized.
Linen Count
• Navy napkins: No problem there. We always bring extra napkins beyond the contracted quantity, so we will make sure there are sufficient extras available.
• Round linens: We can certainly provide (20) 120" white round linens. However, the original contract only includes 10 round linens, so there will be an additional charge of $45 per linen ($450 total) for the additional 10 linens.
• Rectangle linens: We can provide the (5) 90" × 156" white rectangle linens requested. The original contract assumed we would be using our standard white stretch tablecloths for these tables as described, so there will be an additional charge of $29 per linen ($145 total) for the upgrade to floor-length linens.
• Family-style service: Although dinner will be served family style, we will still utilize the three buffet tables listed in the contract for prep, staging, and service support.
Vendor Meals
• Yes, we can have meals available for the 4 vendors.
• We will do our best to accommodate the vegan vendor, but we cannot guarantee a separate vegan meal at this point.
Bar Questions
• Bar sign: I already have a drink list that Amber uploaded to the portal. Please confirm that the uploaded list is final so we can proceed with creating the bar signage.
• Plastic cups: Transitioning to plastic cups later in the evening is a great idea. Once dancing begins, we can start bussing the glassware and transition guests to plastic cups for the remainder of the event.
• Cocktail napkins: We will provide cocktail napkins at the bar. We typically stock black cocktail napkins, but I am assuming the preferred color is navy. Please confirm this as soon as possible so we can make arrangements if needed.
• Last call: The current 9:30 PM last call was based on the original request for 5 hours of bar service. We have no problem extending service until 10:30 PM, but there will be an additional charge of $75 per bartender for the extra hour.
• Alcohol and mixers: Confirming Stephen will be providing the alcohol and mixers. We would prefer to handle the garnishes ourselves to ensure everything is prepared and presented consistently. Please let us know if there are any specific garnish requests or preferences you would like us to include.
Arrival Time
• We are happy to adjust our arrival time to 1:30 PM to ensure linens are in place and your team has everything needed for setup.
Contract / BEO
• We can provide an updated contract and BEO once the details above have been reviewed, confirmed, and accepted, including any associated linen and bar service adjustments.

Hey Mike! Just jumping in here. I thought we already confirmed the 10 cocktail linens, and the floor length linens (not stretch), and that that was reflected in the latest contract price we paid? We discussed the linens in a post from 19 days ago, and I confirmed the extra linens and the floor length.
We would like the bartender last call to be 10:30, so if we need to pay that, we will.
