Recommended Shopping List & Bar Quantities for Your Event

Hi Kevin,

Based on your guest count of approximately 35 guests, a 2.5-hour cocktail-style service window, and the fact that beer will also be available, I’ve put together a recommended shopping list for the bar.

Because guests will have access to both cocktails and beer, we anticipate an average of approximately 1.5–2 cocktails per guest over the course of the event. The quantities below are designed to provide a comfortable buffer without significantly over-purchasing.

  • 2 liters Grapefruit Soda

  • 2 liters Cranberry Juice

  • 1 liter Orange Juice

  • 2 liters Soda Water

  • 16 oz Fresh Lime Juice

  • 1 bottle Simple Syrup

  • 1 bottle Angostura Bitters

  • 50–60 beers

  • 200 lb Ice

Recommended Spirits

Tequila Blanco

2 bottles (750ml)Used for the La Paloma Negra.

Mezcal

1 bottle (750ml)Used in smaller quantities for the La Paloma Negra to add smokiness and depth.

Beer Recommendations

Since beer will also be available, we recommend approximately:

This keeps the selection approachable for a wide variety of guests.

Ice Estimate

We recommend:

👉 200 lb of ice

This covers:

  • chilling beer

  • backup ice throughout the event

Ice is one of the most commonly underestimated items at events, so we recommend planning generously to ensure smooth service from start to finish.

Soft Drinks & Water

Since no non-alcoholic beverages were included with the bartending package, water, sodas, and any additional non-alcoholic beverages would be supplied by you.

With dry hire bartending service, we provide the bartending labor, bar tools, setup, and service, while the client supplies all alcohol and beverages unless otherwise arranged.

We will provide all garnishes and bar setup items needed for service.

These recommendations are intended to provide a smooth and well-balanced service experience while avoiding excessive over-purchasing. We can absolutely adjust quantities further based on your guest demographics or drinking preferences.
